ORGANIZATIONAL STRUCTURE
組織架構

UBCTA is composed of three departments: the Internal, the External, and the Technical. Its hierarchy from top down shall be the President, the Senior Executives, the Senior Advisors, the General Executives, Coordinators and Assistants. Senior Executives include the Vice President of External Affairs, head of the External Department, the Vice President of Internal Affairs, head of Internal Department, the Vice President of Technical Affairs, head of the Technical Department, and the Treasurer. Senior Advisors may be arbitrarily distributed amongst the three departments, providing advice in the area of their expertise. General Executives include executives in the Internal and External departments; this group should be staffed by a minimum of ten personnel. The Technical Department includes the Graphic Design Team and the Computer Information Team, each team is composed of two to three personnel.
臺灣聯誼會主要由三大部門(外務部門、內務部門和技術部門)組成,由上至下分別為會長、資深幹部群、資深顧問群、一般幹部群、實習和助理。資深幹部群包括領導外務部門的外務部副會長、領導內務部門的內務部副會長、領導技術部門的技術部副會長以及獨立運作的財務長。資深顧問群將分散至三大部門,提供各類資訊和協助。一般幹部群將由至少十名分別隸屬外務部門和內務部門的幹部所組成;技術部門門下將分為美工設計和資訊管理兩個團隊,分別有兩名至三名的幹部負責。





Departments and Positions

PRESIDENT
會長

Definition: Chief executive of the club


Duties: Represent the club as its figurehead, ensure the efficiency and coherence of the club, conduct executive meetings, provide major decision making in deadlock, hold the general election, ensure that the club constitution is adhered to, handle relations with other clubs and organizations, provides leadership, lead the club in a positive direction with a positive image, ensure to the best of his ability the success of events and the club, carry out decisions and interests of the club.


Authority: Can relieve and replace executives not fulfilling duties or hurting club harmony, can fill positions not filled by election, represent and speak for TA at external functions, mediate and resolve internal conflicts, approve or reject event and budget proposals, call emergency meetings, approve resignations.


Misc: Must be a full-time UBC student, and may not participate in Co-op programs during the term of office.

備註: 任職期間須為UBC全職學生,不得參與建教合作,不得於卸任前畢業。





SECRETARY
秘書

Definition: Assist the President in dealing with meeting related issues.


Duties: Responsible for club communication with AMS/SAC, responsible for learning AMS regulations, responsible for booking rooms in UBC, checks mailbox, keep meeting records and transcripts, prepare meeting agendas, prepare memos, organize the TA communication system, keep and organize the file cabinet and office keys, handle vote counts in meetings, assist the President, and arrange internal gatherings.


Authority: Can request contact information and schedule from members of the executive team, arrange office hours, and decide meeting time and location.

職責: 負責社團和AMS以及SAC的聯絡、負責知悉AMS的相關規定、聯繫一般幹部、負責校園內的房間預定、檢查信箱、保存並管理資料箱和辦公室鑰湜、處理會議中的計票事宜、協助會長、安排內部聯誼。


職權: 索取團隊成員的聯絡資料和時間表、排定駐辦公室時間表和安排會議時間及地點。





TREASURER
財務長

Definition: Overseer of club finances

Duties: Ensure the repayment and collection of debts, approve expenditures prior to occurrence, inform the executive council of club finances and position, provide a balance report periodically, only allow reimbursements with receipts, provide funds only with council support, liaison with AMS, responsible for reading and following the treasurer handbook by AMS, maintain the club money box, oversee collection of payment for events, check club folder regularly, maintain balance book and financial records of the club, and attend 90% of all non-expensive events.


Authority: In charge of all club financial transactions, have the power to approve and reject budgets, proposals, and sports intramural team(s).


Misc: Must be a full-time UBC student, and may not participate in Co-op programs during the term of office.

SENIOR ADVISORY COMMITTEE
資深顧問群

Senior advisory committee is established to encourage participation from pervious executives and increase the specialty of the organization.


Definition: Committee which volunteers advice to the executive team with regards to department duties. Assistance may be offered to the executive in carrying out department duties when necessary.


Duties: Volunteer advice and or assistance to the executive team when necessary.


Authority: May undertake project related tasks.
資深顧問群是為了增進前任幹部的參與感和添加社團的專業能力而設立。


定義: 委員會本身就各部門事宜提供意見,並於需要時提供援助。


職責: 提供意見和(或)必要時協助幹部團隊。


職權: 接受委派擔任專案相關人員。



External Department
外務部門

The department will handle issues in member communication, public relation, and publication. It is composed of External VP and at least five Directors. The goal of the department is to increase the club’s exposure and to attract members to participate in the club’s events.
主要負責外務事務和聯絡會員、公共關係以及刊物編輯方面的相關事務。本部門由外務部副會長和至少五名幹部成員所組成。該部門主要目標為增加社團曝光率和吸引更多會員參與社團活動。外務部副會長亦兼負促進和維持社團內部和諧關係,得以透過舉辦內部聯誼和活動的方式來增加彼此間的關係。




VICE PRESIDENT OF EXTERNAL AFFAIRS
外務部副會長

Definition: Head of External Department

Duties: Assist the President, act as liaison between the President and the department, assist their departmental executives, conduct executive meetings if the President is absent, represent the department as its figurehead, ensures the efficiency and coherence of the department, conducts departmental meetings. Provides leadership, carry out the decisions and interests of the department, maintain high morale, and team spirit among subordinates, ensure the legitimacy of events, be present at 80% of departmental committee meetings and be appraised of departmental/committee issues and situations. Devise promotional tactics using tools such as flyers, posters, complementary tickets, pre-sale tickets, newsletter, and outside media including newspaper, television, and radio to increase the popularity of events. External VP has to work closely with Internal VP in order to understand the nature of various events, hence to achieve the goal of promoting these events and ultimately attract more people to join club events.


Authority: Call emergency meetings, oversee the activities of the department, approve or reject external project proposals, make decisions within the external department, appoint candidates for senior advisors of the External Department, speak on the club’s behave in situations concerning the club’s image and in dealing with other organizations.

職責: 協助會長、做為會長和外部部門的橋樑、協助外務部門的幹部、當會長不能視事時負責舉辦幹部會議、代表外務部門、確保外務部門的效率和團結、舉辦外務部門的會議。提供領導能力、統整外務部門的決策和方向、統整外務部門的決策和方向、確保團隊士氣和團隊精神、確保活動的正當性、內務部門會議出席率須達80%以及評估外務部門的各類事項和情形。在宣傳方面得以利用傳單、海報和其他諸如報紙、電視和電台的媒體來增加活動的知名度。內務部副會長需與外務部副會長密切合作,以了解各式活動的性質因此而達到宣傳的效果和額外地吸引更多的人參加社團活動。


職權: 召開緊急會議、監督外務部門的運作、審核並通過外務相關專案申請、指定外務部門的資深顧問人選、擔任就社團形象以及面對其他組織的公開發言人。




Directors of External Affairs
外務部門幹部群

Definition: Organizers and executers of the club’s external affairs.


Duties: Promote club events using various marketing strategies, such as flyer, poster, word of mouth, radio, television station, newspaper, e-mail, online instant messenger etc. Cooperate with the team in creating new marketing strategies, with the technical personnel in utilizing media. External directors should participate in internal meetings and actively gather event information to ensure that the events of the club are promoted immediately, effectively, and correctly. Cooperate with computer personnel in building and maintaining member database, distribute club information and ensure members of the club receive them timely. Maintain relationship between the club and its sponsors, as well as other non-UBC affiliated organization, and actively seek new sponsorship. Responsible for the creation and re-newel of sponsor sticker and contract, organize sponsor database, distribute thank-you letters prior to the renewal of sponsor contracts, seek cash sponsorship and/or gift sponsorship for necessitating events. Manage club documentations such as club magazine, promotional drafts, mails and emails.


Authority: Initiate external affair related projects, may undertake project related tasks.

Internal Department
內務部門

Handles the internal affairs and provides members with events and services in four areas: Community Service, Cultural, Social, and Sports. The events should be in accordance with the club’s image and should cater to the needs of the members.
負責處理內務事項和提供會員在社區活動、文藝、康樂和體育方面的相關活動。本部門由內務部副會長和至少五名幹部成員所組成。該部門主要目標為籌劃符合社團形象和迎合會員需求及增進會員交流的各式社團活動。




VICE PRESIDENT OF INTERNAL AFFAIRS
內務部副會長

Definition: Head of Internal Department

Duties: Assist the President, act as liaison between the President and the department, assist their departmental executives, conduct executive meetings if the President is absent, represents the department as its figurehead, ensures the efficiency and coherence of the department, conducts departmental meetings. Provides leadership, carry out the decisions and interests of the department, maintain high morale, and team spirit among subordinates, ensure the legitimacy of events, be present at 80% of departmental committee meetings and be appraised of departmental/committee issues and situations. All events should be bilingual.


Authority: Call emergency meetings, oversee the activities of the department, approve or reject event proposals, and make decisions within the internal department, appoint candidates for senior advisors of the Internal Department, speak on the club’s behave in situations concerning club events and in dealing with members, arrange club event schedule.

職責: 協助會長、成為會長和內務部門之間的橋樑、協助內務部門內的所有幹部、如果會長不能視事得以負責召開幹部會議、代表內務部門、確保內務部門的效率和團結、舉辦內務部門會議。提供領導才能、統整內務部門的決策和方向、確保活動的合法性、外務部門會議出席率需達80%以及評估內務部門的各類事項和情形並確保所有活動以雙語(英語為主、中文為輔)的方式舉辦。


職權: 召開緊急會議、監督內務部門的運作、審核並通過或駁回活動專案申請、指定內務部門的資深顧問人選、擔任就社團活動等相關事宜以及面對會員的公開發言人、安排社團活動的時間表。




Directors of Internal Affairs
內務部門幹部群

Definition: Organizers and executers of the club’s internal events.


Duties: Create opportunity for members to contribute to the community by holding various community service events, promote the Taiwanese culture and music, provide members and non-members with cultural and academic information and events, handle inquiries and questions regarding TA activities, general inquiries regarding greater Vancouver area and/or UBC specifically, create opportunity for members to socialize, welcome members into TA, provide members with athletic events.


Authority: Initiate internal affair related projects, may undertake project related tasks.

職責: 藉由舉辦不同的社區服務活動讓會員有機會回饋社區、推廣臺灣文化和音樂、提供會員和非會員文化和學術相關的資訊和活動、處理外界對社團活動的相關詢問以及對大溫地區和(特別是)UBC校區的一般詢問、提供會員社交的機會、提供會員體育性質的活動。

Technical Department
技術部門

The department will handle issues in technical affairs including computer information and graphic design.
負責社團在電子事務和美工設計方面的事宜。




VICE PRESIDENT OF TECHNICAL AFFAIRS
技術部副會長

Definition: Head of the Technical Department.


Duties: assist the President, act as liaison between the President and the departments, represent the department as its figurehead, provide leadership, ensure to the best of his/her ability the success of events and the department, ensure the legitimacy of events, be present at 80% of internal departmental committee meetings and be fully appraised of departmental/committee issues and situations.


Authority: Call emergency meetings, oversee the activities of the department, and make decisions within the internal department, appoint candidates for senior advisors of the Technical Department, approve or reject project proposals of the department.

職責: 協助會長、做為會長和技術部門的橋樑、代表技術部門、確保技術部門的效率和團結、舉辦技術部門會議。提供領導才能、統整技術部門的決策和方向、確保活動的合法性、內務部門會議出席率須達80%以及評估技術部門的各類事項和情形。

COMPUTER INFORMATION TEAM
電腦資訊團隊

Definition: Direct the club's computer information. There shall be two directors to the team: one website and the other forum.


Website: Handle and maintain layout and forms of website, including member database, event website page, and design for online albums; handles emails received from public; maintain close communication with forum director.


Forum: Oversee and manage the activities on club's forum and maintain close communication with administrator.


Common duties: Update online photo album, produce annual photo album CD, and assist in producing survival guide CD.
定義: 管理社團的電腦資訊。電腦資訊團隊有兩位幹部,分別是網站管理和論壇管理。


網站管理職責: 負責網頁的設計和格式更新(諸如會員資料管理、活動網頁設計和活動相簿設計等等)、更新和維護社團網頁、回應電子訊息,和論壇管理幹部保持良性溝通。


論壇管理職責: 監督和管理論壇行為。


共同職責: 更新線上相簿,製作年度相簿CD和協助製作傳承CD。





GRAPHIC DESIGN TEAM
美術設計團隊

Definition: Direct the club's visual graphic activities. There shall be three directors to the team.


Duties: Provide the club with visual promotions, create posters and brochures for the events, creates business cards, T-shirt, sponsor sticker, banner, assist in creating all visual figures required in TA activities, keep technical VP informed of situation.

定義: 管理社團的美工相關事項。美術設計團隊有三名幹部。


職責: 提供社團於宣傳時的美工需求,為活動設計海報和傳單,設計社團名片、T-shirt圖樣、贊助商貼紙、大型布條和其他社團所需的美工相關,通知
技術部副會長相關資訊。

COORDINATORS and ASSISTANTS
實習與助理

Members may become assistants through direct application to department director(s). Once they become assistants, they will be evaluated on their work upon completion of every project. When their work exceeds a certain standard, department director(s) may promote them to department coordinators. However, in cases of non-participation or a dramatic drop in work standard, department head may demote coordinator back to assistants and promote other assistants to become coordinators.
會員可以經由直接向各部門幹部申請的方式成為助理。在正式成為社團助理後,將會在每次專案執行後被評估一次,當其表現優異時,各部門主管得將該助理升為實習。相對的,當某實習表現欠佳時,各部門主管亦可將該實習降為助理身分。





Assistant evaluation
助理評估

Assistant evaluation shall occur after the completion of a project. Meanwhile, assistant lists shall be updated once a month in case of changes. All evaluation shall be initiated by secretary and carried out by project manager(s).
助理評估應於每次專案執行後舉行,同時助理列表應該按月定時更新。助理評估表格由秘書製作並委由各專案主管執行。





DEPARTMENT COORDINATORS
部門實習

Definition: Coordinate department tasks in assistance to department director and vice-directors in carrying out department duties. Can represent director(s) in their absence.


Appointment: Department coordinators are appointed by department directors after successful evaluation. There may not be more than ten coordinators per department at one time; however, members of department coordinators may change as evaluation results change.


Duties: Assist department director(s), show up in department meetings and club events.


Authority: May undertake project related tasks.
定義: 協助各部門幹部相關事宜。


委派: 各部門幹部得推薦表現優異的助理擔任實習一職,各部門內不得同時超過十名實習;因此,實習人選將隨助理評估的表現有所異動。


職責: 協助各部門幹部,參與各部門會議和社團活動。

DEPARTMENT ASSISTANT
部門助理

Definition: Assist department coordinators and department director(s) in carrying out department duties.


Duties: Assist department director(s), show up in department meetings and club events.


Qualification: subject to application and interview.


Tasks: Act as support to department director(s).
定義: 協助各部門幹部相關事宜。


職責: 協助各部門幹部,出席小組會議和參加社團活動。


資格: 需經申請和面試。


職務: 協助各部門幹部。




MEMBER RIGHTS

The goal of all TA executives and assistants is to serve our members; therefore all TA members are eligible to:

  • Be informed of all TA activities and join events at the member price
  • Receive a membership card and newsletters
  • Receive 10% discount from TA sponsors with TA membership card
  • Vote for an executive
  • Run for an executive position

會員權利

社團所有的幹部和助理是為了服務會員而設立,因此所有的會員享有以下的權利:

  • 被告知社團活動並享有會員優惠
  • 獲得會員卡和會刊
  • 從社團的折扣贊助商店中透過社團會員卡獲得九折優惠
  • 得票選舉一般幹部
  • 有資格參選一般幹部



EXECUTIVE ETHICS

  • Executives will not abuse club assets, events, or name for personal purposes.
  • Executives will not mix personal and club finances; if they do, they shall sort them out immediately
  • Taiwan Association of UBC is non-political and non-religious
  • The privacy of members will be protected. Only Communication Directors and senior executives can view members' database.
  • The rights of members will be respected.
  • Club activities will not be controversial, unethical, or offensive

幹部倫理

  • 幹部不得濫用社團公物、活動和名稱以做私人用途。
  • 幹部不得將私人財務和社團財務混淆,如遇此情形,該幹部應盡速釐清。
  • 英屬哥倫比亞大學臺灣聯誼會是非政治和非宗教的組織。
  • 會員的隱私權應被妥善保護,僅會長和資深幹部群得權閱覽會員資料。
  • 會員享有的權利應被尊重。
  • 社團的相關活動不得有爭議性、違背倫理道德和冒犯他人。


DEPOSITION AND RECONCILIATION
罷免和調停

All executives may be relieved if they are not fulfilling their duties. The motion can be raised by anonymous message. The motion will be discussed at the next meeting. Council can only relieve the executive if 2/3 of the council and three out of five senior executives agree on it.


Resignations must go through formal process; department heads will make the decision and inform the President. He/she has to explain the reasons for resignations in TA meeting before formal resignation.


Executives no longer studying at UBC may stay provided that they continue to fulfill their duties and show up at meetings. They will have a one-month grace period to prove continued commitment. If not, they can resign or be relieved.
所有的幹部在未盡責的情況下可能會遭到替換,關於替換某幹部的提議可以被匿名提出,該提案並將在最近的會議中被討論。如果協調會中有超過2/3的成員同意且其中包含三名以上的資深幹部群(或包括會長),該幹部將會被替換。


幹部辭呈應經過正式的步驟;部門主管將會在做出決定通報會長,欲辭職之幹部須在會議中提出辭職的理由才能算正式辭職。


因故未能繼續在UBC就讀的幹部可以在盡責並出席會議的前提下繼續擔任職位,並有一個月的觀察期來證明能維持承諾,否則該幹部可自動辭職會將被替換。



CONSTITUTION AMENDMENTS

In the future, if there is a need for the constitution to be amended, the proper procedures include 3 steps. Finally, it will be submitted to SAC for approval. Procedures are subject to AMS club regulations. Election procedure may be modified with the 1st and 2nd readings alone, but the modifications should be submitted to SAC for approval and publicized. The reigning executive team may modify tasks of executives, meeting procedure and project procedure, to better adapt to the circumstances, with 1st reading alone, but these modifications should also be publicized.


1st reading: A constitution committee should be formed. This committee should consist of president, senior executives and executives. The proposed constitution is discussed within executives and agrees upon.


2nd reading: The proposed constitution is present in the regular meeting with all executives and assistants presenting. The proposed constitution has to be agreed by 2/3 of the council.


3rd reading: The proposed constitution is present in the annual general members meeting. If 60% of the members agreed with the referendum, then the new constitution will then be legal and be sent to the AMS.

憲法條文修正法

如遇憲法須修正之情形,需經過三讀之程序。於三讀通過後,修正案將交至SAC批准。修正程序視AMS的社團法規調整。社團幹部選舉法修正需經過一讀和二讀的程序,並於通過後交至SAC批准並公告。現任幹部團隊可就現實狀況經一讀的程序修正職務介紹、會議程序和專案程序之條文,無需交至SAC批准但須另行通知並公佈。


一讀:一個由會長、資深幹部群和幹部群所組成的憲法修正委員會應該被成立,關於憲法修正的相關條文應在委員會內被討論和通過。


二讀:關於憲法修正提案應於一般會議中提出;一般會議的定義泛指由幹部群和助理出席的會議。憲法修正案應於會議中由超過二分之三的人同意方算通過。


三讀:關於憲法修正提案應於年度會員公開會議中提出,並應於會議中由百分之六十以上的與會者同意方算通過。至此,憲法修正提案方始正式通過並需經AMS批准。



ELECTION PROCEDURES

There are two elections: Internal election and general election.

Internal election:

  • President and four senior executive positions are open only to executives or coordinators and they will be elected before the general election.
  • Technical Positions that required interviews will not be elected. They are interviewed by the President, technical VP and at least one other senior executives.
  • Technical Positions include Computer Information Team and Graphic Design Team.
  • In the event that an executive or a senior executive resigns, replacement executive(s) has to be interviewed and approved by the President and at least two other senior executives.

社團幹部選舉法

茲分為兩類選舉:內部選舉和公開選舉。

內部選舉:

  • 會長和四名資深幹部的競選名額僅開放給幹部和實習,並且應於公開選舉進行前選出。
  • 技術部門的職位需經面試但無需透過選舉,這些職位將由會長夥同技術部副會長和任一名資深幹部共同面試。
  • 如遇任一資深幹部辭職時,空缺需經會長和至少兩名其他資深幹部面試。
  • 如遇任一資深幹部一職出現空缺時,會長得指派符合參選資格的人擔任。

Qualifications:

  • •In order to run for President, the candidate must have served as an executive no shorter than two years. Under emergent situations and with the approval of all incumbent president and senior executives, exceptions can be made to presidential candidates who have served as an executive for no less than one year.
  • To run for four senior executive positions, the candidate must have served as a coordinator or executive no shorter than a year.

候舉人資格:

  • *會長候選人需有至少兩年完整的幹部經驗或經應屆會長和資深幹部群全體通過後就該次內部選舉作暫時調整,但往後應以原本所列資格為優先考量。
  • 除會長職位外的其他四名資深幹部候選人須至少有一年完整的實習或幹部經歷。

Voting:

  • President and all senior executives not running for a position are entitled to four votes, executives are entitled to two votes, and coordinators are entitled to one vote.
  • Where a senior executive or president is running for another senior executive position in the coming year, he/she is entitled to only two votes, same as other executives.
  • List of eligible coordinators must be determined at least a week prior the internal election. No addition is allowed after submission of the list.

Other positions are open to all members and previous executives through general election. Election procedures and regulations are same as AMS regulations. See AMS constitution. Executives who do not win senior positions are still eligible for general election.

投票規則:

  • 所有即將卸任的會長和資深幹部若未參與內部選舉者享有四票,幹部們則各享有兩票,實習則各享有一票。
  • 任何即將卸任的資深幹部或會長若欲參與內部選舉者視同其他幹部,僅享有兩票。
  • 符合實習資格的名單應於內部選舉前一週確認,並不得於繳納後變動。

除資深幹部的職位外將公開開放給全部的會員和卸任幹部透過一般選舉產生,選舉過程和規定請參照AMS的規定(AMS的憲法)。任何幹部未於內部選舉中當選者仍有資格參與一般選舉。

General elections:

  • All executive positions (including Secretary) are available to the general public and previous executive through general election.
  • *Previous executives must also go through the general election process if not running for technical position*
  • All who intend to run in the election need to declare the position of interest (external director, internal director, or Secreary) in the specified time period.
  • A brief interview shall be conducted by the reigning president and senior executives at the time the application is submitted.
  • Each candidate has to give a speech at the general election
  • Reigning president and senior executives are entitled to three votes, executives are entitled to two votes, and all members, as well as the senior executives of the previous term are entitled to one vote.
  • If a department has less than or equal to five candidates running, the candidates must each receive at least 50% of the votes as “yes” from the voters to take office. If a department has more than five candidates running, the five candidates with the highest votes should take office, the 50% rule can be ignored. (If there should be two candidates both receiving the fifth highest vote count, follow the rule specified below)
  • Every voter may vote for a maximum of three candidates of the same department on a single ballot. Ballots with more than three “yes” in any department are invalid. The ballots should separate the candidates by their department, for clarification purposes.
  • If there is only one candidate for the secretary position, he/she must receive 50% of the votes to take office. If there are more than one candidates running for the position, then the one with the highest votes should take office.
  • Election, as well as reading of votes, shall take place openly and without delay.
  • If there is any conflict of interest, the President should settle it. An internal election among the newly elected execs can be called if it is required.
  • For those who did not participate in the election but are interested in becoming an executive, the qualification of participating in an internal election may be granted after being interviewed by the president and two senior executives. The candidates of the internal election must receive 50% of the votes from members of the reigning executive team to take office.

一般選舉:

  • 所有的幹部職位(包括秘書一職)除資深幹部和技術部門下之幹部外將透過公開選舉的產生。
  • 卸任幹部除有意擔任技術部門下之職位外需參與公開選舉。
  • 所有參選人需於指定時間內表明欲參選之部門(外務部門或內務部門或秘書一職)。
  • 新任會長和資深幹部群應就候選人於申請期間舉行簡單的面試。
  • 所有的候選人須於公開選舉中發表政見。
  • 新任會長和資深幹部群於一般選舉中享有三票,卸任幹部享有兩票,所有會員和卸任資深幹部享有一票。
  • 若單一部門的參選人在五名以內,每位參選人須得過半的票數方算當選。若單一部門的參選人超過五名,由得票數最高的前五名參選人當選,但得票數無需過半。(若得票數第五高和第六高同票數,請參考下述關於同票數處置一款)
  • 每張選票可就單一部門圈選最多三名參選人,單一部門內圈選超過三名之選票整張視同廢票並不列入總票數。選票上應明確將各參選人按部門分開,讓選民明確分辨。
  • 若僅一人參選秘書一職,參選人須得過半的票數方算當選。若兩人以上參選秘書一職,最高得票者獲選。
  • 選舉過程和唱票過程須公正公開地進行,不得延誤。
  • 如與兩人同票者,新任會長得權妥善處理,必要時可透過內部選舉處置。
  • 未能於一般選舉期間參選但欲成為幹部者在經過由會長陪同至少兩名資深幹部所進行的面試取得參加資格後,再經既有的幹部群半數以上匿名投票通過即可成為幹部群新成員。

Vice President of External Affairs
外務部副會長

  • Is responsible for the distribution of promotional flyers to executives for posting and to confirm that all flyers are in place and visible. Each executive is responsible for no more than 5 promotional flyers. Although the External VP can ask for and use all assistance that is available, the responsibility of the promotional flyers remains ultimately on him/herself.
    Distribute responsibilities amongst the executives on projects concerning sponsorship and sponsorship renewal. Ensure to the best of his/her abilities the success of these projects.
  • Periodically communicate with the external directors, updating any information necessary.
  • Periodically request external directors to report on the issues concerning the external projects, responsible for compiling and organizing the event feedback records.
  • Spend one hour per day on TABBS.
  • Be the manager in vice of the member recruitment project.
  • Beginning of Aug - have Clubs Days gifts ready.
  • End of Aug- advertise the club on World Journal Newspaper.
    Arrange to have the club advertised on Talentvision commercials.

Vice President of Internal Affairs

  • Periodically communicate with the internal directors, updating any information necessary.
  • Periodically request external directors to report on the issues concerning the external projects, responsible for compiling and organizing the event feedback records.
  • Assist External VP in organizing the executive team in distributing posters and flyers.
  • Spend one hour per day on TABBS

Vice President of Technical Affairs
技術部副會長

  • Periodically communicate with the Technical Teams, updating any information necessary.
  • Ensure the design for membership card, club banner, exec business card, and club T-shirt be completed prior to the end of May.
  • Ensure the production of club T-shirt and exec business card be completed prior to the end of June.
  • Ensure the production of membership card and club banner be completed and the items be transported to Vancouver prior to the end of August.
  • Manager of the website update project.
  • Spend one hour per day on TABBS

Treasurer
財務長

  • Provide monthly financial reports.
  • Maintain inventory and inventory list, tally inventory at the start and end of term.
  • Should be present at 90% of the events involving cash flow.
  • Is responsible for the collection of fees from every participant of the events. Subject to project planning.
  • Spend one hour on the TABBS every three days.
  • 按月定期提供詳細的財務報告。
  • 清點社團公物並製作公物清單,於交接時需清點。
  • 除參加費較昂貴的活動外須親身全程參與九成全部活動。

Secretary
秘書

  • Is responsible for gathering executive contact information and schedule, as well as assistant evaluations.
  • Arrange meeting time and location.
  • Compile and distribute minutes within two days of the meeting.
  • Organize Internal gatherings.
  • Spend one hour on the TABBS every three days.
  • 負責收集團隊成員的聯絡資料和時間表。
  • 安排一般會議的時間和地點。
  • 編製和整理會議紀錄並於會後兩日內透過電子信件發放給團隊成員。

Executives
幹部群

  • Wear club T-shirt when participating in club events.
  • Be committed to one hour of office hour and another one to two hours of meeting every week.
  • Be committed to two hours of shift during clubs days, which occur in the already busy September.
  • Be present at the icebreaker and internal icebreaker as well as 70% of the internal gatherings.
  • Is responsible for maintaining contact with three to five active assistants.
  • Spend one hour on the TABBS every three days, one hour per day when involved in projects.
  • Be prepared for various project-related tasks such as flyer distribution and sponsorship solicitation.
